Privacy notice
Last updated 14 October 2026
J.C. Memorial School uses this platform to run the school and to teach. This notice explains what personal data we collect, why, who can see it, and your rights under the Digital Personal Data Protection Act, 2023. J.C. Memorial School is the data fiduciary responsible for your data.
What we collect
- Students: name, date of birth, class and section, roll and admission numbers, photo, attendance, homework, marks, report cards and achievements.
- Parents and guardians: name, relationship to the student, phone number, email address and address.
- Staff: name, designation, contact details, qualifications and work records.
- Health and safety: allergies, medical alerts, emergency contacts and people authorised to collect a child, only where a guardian provides them.
- Fees: invoices, payments and receipts. Card details are handled by the payment provider and never reach our servers.
- Account security: sign-in history, devices and IP addresses, kept to protect accounts.
Why we use it
- To admit, teach, assess and look after students, and to keep families informed.
- To manage fees, transport, the library and events.
- To keep the platform and every account secure, and to meet our legal obligations.
We don't sell personal data, show advertising, or track or profile children for marketing. Achievements are visible only to the child, their guardians and their teachers. There are no public rankings.
Children's data and consent
For students under 18 we ask a parent or guardian for verifiable consent at admission, and separately for things such as publishing photos on the public website or event participation. You can withdraw a consent at any time by contacting the school office; withdrawal doesn't affect what was done before it.
Who can see it
Access depends on role. Teachers see the classes they teach, guardians see only the children linked to their account, and office staff see what their job needs. Sensitive details such as health information are limited further. Every access-changing action is recorded in an audit log.
How long we keep it
We keep records for as long as the student or staff member is with the school and afterwards for the periods the school sets to meet legal and academic requirements. Unsuccessful admission applications and old notifications are deleted sooner.
Your rights
- Ask what personal data we hold and how it is used.
- Ask us to correct, complete or update it, or to erase data we no longer need.
- Withdraw consent you have given.
- Nominate someone to exercise these rights if you are unable to.
- Raise a grievance with us, and if unresolved, with the Data Protection Board of India.
Contact: the school office.
